This page will give you the answers to frequently asked questions. Please link to the WT Health page to obtain information pertaining to health records, Clermont County services.
How much are school fees and when are they due?
School fees are $40.00 per student per year. They are due at the beginning of the school year, but arrangements can be made to pay $10.00 per quarter. All fees must be paid by the end of the school calendar year. Failure to pay the fee will result your name being given to the Clermont County Prosecutor's office.
How can I find out who my child's teacher is at the beginning of the year?
The student rosters are posted on the front doors in August.
How do I find out what supplies my children need?
We send a copy of our supply lists to the area retail stores such as Wal-Mart, Biggs, Target, and the office supply stores. You can also pick one up in the office (the school is closed in July) or you can print it from our website by clicking the School Supplies icon on our homepage.
How do I find out what bus my child will ride?
Forms are available in the school office if your child will need Special Transportation arrangements (this would be any pick-up or drop-off location within the WT district, other than to and from the home address). To find out what bus they will ride and when it will pick up your child call the bus garage at 752-4020. Also, if you have a question or concern about the bus service or a bus driver, contact the bus garage at that number.
What do I need to bring to school when I am registering my child?
You will need to bring your child's certified birth certificate, proof of residency (such as a lease agreement, rental agreement, tax bill), custody papers if applicable, the address and phone number of your child's previous school, and we strongly suggest you also bring a record of your child's immunizations.
How do I know when there is a school delay or closing?
West Clermont officials will call ALL the local radio and television stations with that information. If you think there is a delay or a closing please turn on your television or radio and listen for school delays or closings. Listen for West Clermont Local Schools when you are listening for closing. The stations will not list individual schools. All West Clermont School now use a School Closing Information line as well, WT's information line phone number is 943-6998. Please DO NOT call the main line for this information because we need to keep our phone lines open for emergencies.
What if my child needs medication while at school?
If any medication must be given to your child during the school day, you must come into the office and pick up a medical form. The form must be signed by a physician and the medicine must come to us in the original container or the prescription bottle (which must have the student's name on it) with the dosage clearly written on the label. All over the counter medications must also have a medical form. We will not give more than the recommended dosage without the written consent of a physician. Our fax number is 752-6571 if your physician needs to fax us a signed form.
How much does a lunch cost?
Student lunches are $2.25 for students, $3.25 for adult, and milk is $.50. You may pre-pay for lunches at anytime. You will be notified when your child's account is low or you can access this information anytime at myschoolaccount.com. If you wish to have lunch with your child, please inform your child's teacher of what your lunch choice will be. You must let the teacher know so you can be counted in with the class lunch count. Failure to do this will result in a shortage of lunches for the students.
What if my child has to charge their lunch?
Students will receive the entire lunch with the first charge. This charge must be paid in full before another lunch may be charged. If a student has an unpaid charge and needs to charge again, the student will be given a peanut butter/jelly sandwich and juice for 55 cents. All charges must be paid as soon as possible. Also, no extra items may be purchased (drinks, snacks, etc.) if the students has an outstanding charge.
How do I apply for free or reduced lunch?
Forms are available in the office to apply for free or reduced lunches.
What do I do if my child is absent?
If your child is
absent, please call the attendance number at 943-6904 by 10:00 A.M.
Clearly state your name, the student's first and last name, date, time, and the
teachers name when calling. Homework requests must be made when you call
your child in sick.
If a parent does not call the school, the student returning from an absence
should bring a note explaining the reason of the absence. The following
information must be included in the note to be excused:
a. Student's full name
b. Dates of the absence and reason
c. Parent's signature and phone number
Absences will be unexcused unless the school has received a phone call from the
parent or guardian on the day of the absence, a parent/guardian note, or a
doctor's note has been received within two days of the student's return to
school.
What is the district's attendance policy?
All students are expected to attend school regularly and to be on time for classes, in order to obtain maximum benefit from the instructional program and to develop habits of punctuality, self-discipline, and responsibility.
Excused Absences
The following reasons are recognized as being valid for absence from school:
1. Personal illness
2. Illness in the family
3. Death of a relative
4. Observance of a religious holiday
5. Emergency circumstances which in the judgment of the administration
constitute good and sufficient cause for absence from school.
All other absences will be considered unexcused. "Needed at home" or "personal reasons" are not considered excused absences. (Excessive absenteeism will not be tolerated and may result in the student and the parent (s) being cited to court.) After six (6) days in the first trimester, or ten (10) accumulative days of absence, the school will require a statement from a physician. Other extenuating circumstances causing absence may be discussed with an administrator. The final decision on excusing an absence from school rests with the school administrator.
Unexcused absences
After five (5) days of unexcused absences, a letter will be sent to the
student's parents requesting a meeting with the principal to address truancy
issues and consequences of future truancy. A first notification will also
be sent to Juvenile Court.
If a student accumulates twelve (12) days of unexcused absences, a Notice
of Truancy for 12 Unexcused Absences letter will be sent to the parents and a
formal complaint will be sent to the Clermont County Court, Juvenile
Division. A formal truancy meeting will be scheduled through the
court. When a student accumulated fifteen days of unexcused absences, a Notice of Truancy for 15 Unexcused Absences
letter will be sent to the parents. A formal complaint will be sent to the
Clermont County Court, Juvenile Division and a court date will be sent for the
parents and student. A recommendations for expulsion can be filed for any
student who as accumulated fifteen (15) unexcused absences.
Fever Policy
Parents are required to keep children home for infectious/contagious illnesses which are accompanied by sore throat, cough, rash, nausea, etc. Children must be fever-free (without the use of fever reducing medication) for 24 hours before returning to school.
What if my child is tardy?
A student is
considered tardy to school if he/she arrives after the opening bell of school or
before the end of the school day. A tardy becomes a 1/2 day absence when a
student misses 2 1/2 hours of school.
Continued tardiness to school will result in corrective measures being taken by
the school to alleviate the problem. Three unexcused tardies will result
in one unexcused absence. Unexcused absences are reported to juvenile
court.
Parents of tardy students must accompany their children to the school office for
proper processing.
What if we are going on vacation?
The school discourages
students from being absent during the school year any more than absolutely
necessary. Family vacations should be scheduled during the
summer months.
In order to make sure that the absences are entered as excused on the computer
system, we ask that you please do the following:
1. Send a written note to the school office, a minimum of
two weeks PRIOR to your child leaving on vacation. Please list the
dates that your child will be absent due to the family vacation.
2. Any assignments will need to be made up and turned in to the classroom teacher per his/her time schedule.
May I call my child during school? No, a student will not be permitted to leave the classroom to speak with a parent on the phone unless there are extreme extenuating circumstances. Calling a student to come to the office to speak with a parent is disruptive to the student and to the entire classroom.
Is my child allowed to use the phone to call home?
The office phone is for the use of school business. It is imperative that phone lines be kept open in order for parents to call us for information and for the school staff to be able to contact a parent. Students will not be permitted to use the phone to call for forgotten lunches/lunch money, homework. The students and parents need to be responsible for remembering these items. Only in extenuating circumstance will the student be allowed to use the phone.
What do I need to do when I pick my child up early from school?
Students are dismissed only from the school office in the elementary and middle schools. Parents must come to the office and sign the student out if the student is leaving early. A signed note from the parents or guardian must be presented or be on file if any person other than the custodial parent(s) or guardian(s) is removing the student from school. A signed note from the parents is required for any dismissal change.
What is the after school parent pick up procedure?
All students who are being picked up on a regular basis after school must sign out in the permanent parent pick up log every day. If you are picking them up on an occasional basis, you must sign them out in the office. PLEASE SIGN YOUR CHILD OUT BY 3:35 IN ORDER FOR THEIR NAME TO BE CALLED BEFORE BUS DISMISSAL. After you sign the student out please wait in the front lobby, NOT in the hallway. Waiting in the hallway disrupts student learning. Your child will be called to come to meet you in the lobby. They will not be permitted to meet you outside the building as that poses a potential danger to the student.
What if I want to visit my child during lunch or if I have a meeting with a teacher?
Any person visiting
school property for ANY reason shall register with the
school office immediately upon arrival. This policy is in accordance with
Section KK Board of Education Rules and Regulations and Section 2917.211 of the
Ohio Revised Code.
We further ask that each visitor wear a Visitor's Badge that can be
obtained in the school office.
Remember;
send in your lunch choice to your child's teacher if you intend to eat lunch
here at school.
What if I wish to speak with my child's teacher during the day or before or
after school?
While we certainly welcome the opportunity to talk to all our parents, teachers have schedules to keep, plans to make in preparation for the day, and meetings they must attend. Our teachers are skilled professionals that appreciate the courtesy of an appointment to confer with parents. If you need to talk with a teacher, stop in the office and ask Mrs. Ilg (the secretary) to see if the teacher is available or call to make an appointment. You can also leave a message and the teacher will get back with you as soon as they can.
What if I wish to transfer schools (intradistrict transfer) within the district?
Intradistrict
Enrollment Request Forms are available upon request in the Pupil Personnel
Office between 8:00 A.M. the first Monday in April and 4:00 P.M. the last school
day in June. Applications will be processed in the order in which they are
received (first-come, first-served basis).
All approvals are on an annual basis and must be re-approved in accordance with
the intradistrict plan on a yearly basis. This includes a new application
each year. Parents will be notified of their application status in the
late summer.
If you have any questions or concerns about intradistrict transfers please
contact your building principal.
1. Special education programs will not be moved to accommodate
intradistrict transfer students.
2. Students already attending an alternate school may be given preference over new applicants.
3. The West Clermont Board of Education is not required to provide transportation to students enrolled in alternate schools unless the student can be picked up and dropped off at a regular bus stop on the school's route.
